How posting period variant plays a crucial role in sap implementation project? Not controlling posting period properly can lead to halting the entire project.
Through posting period we can control which transactions are allowed to post in a specific period. Each company code is assigned to a posting period variant. This posting period variant control the opening & closing of a period.
Why it's important to control posting period variant before sap project go-live?
In sap implementation project, before go-live we have to perform data cutover activities. Loading the legacy data into new sap s4hana system is done before go-live. In order to ensure that finance team has loaded GL data properly into new sap system, posting is allowed only for account type (S: GL account). Finance team is able to load data while other account types are not allowed to post. Other account types are allowed to post as and when needed.
In order to ensure that no one should be able to post document in future periods or past period, future & past periods are kept closed using posting period variant.
SAP FICO Interview questions on Fiscal year variant and Posting period variant
Can a non-leading ledger use a different fiscal year than leading ledger? Yes, non-leading ledger can use different fiscal year variant. Leading ledger may use 'Jan -Dec' while non-leading ledger can use 'Apr-Mar'. Fiscal year variant which is assigned to company code in OBY6 is used for leading ledger 0L. If we want to use a different fiscal year variant for non-leading ledger then in ledger setting we can do this. If in ledger setting, we do not assign any fiscal year variant then fiscal year of leading leger is applied to non-leading ledger also.
If there are 100 company codes spread across the world, is it necessary to keep same fiscal year for all the company codes? Since all company codes belong to same group company hence keeping same fiscal year for leading ledger is recommended. If any company code is assigned different fiscal year then it can not be included in the same controlling area.
Can I change fiscal year of any company in middle of year? No, change of fiscal year can not be done in middle of year. If business wants financial reports for a different financial year then custom reports can be developed. For example, company has fiscal year variant Jan-Dec but business wants report of Apr-Mar, then custom report can be developed where you fetch financial data for period 4 and show it in April month. One can more solution can be using non-leading ledger. You can create a new non-leading ledger and assign it fiscal year Apr-Mar. But this approach will depend upon your timing of activating non-leading ledger.
If certain correction is needed in last year financials, how to do it? Since year has ended hence special period will be used for posting transaction in previous year. Let's say financial year is Jan-Dec and now we are in Feb month, auditor has suggested couple of corrections hence we will enter correction in feb month but posting date will be 31st Dec of last year. In this, correction is posted on last day of previous year but posting period is 14 (13 is jan, 14 is feb). Sap allows maximum of 4 special periods for posting such year end corrections.
What is the prerequisite to assign multiple company codes to same controlling area? Company codes must have same fiscal year and operational chart of account.
Which fiscal year variant is used by companies in USA? USA company codes follow 4-4-5 fiscal year. Which means period 1 has 4 weeks, period 2 has 4 weeks but period 3 has 5 weeks. In this way, every quarter has same number of days. Basically total 52 weeks are there in a year, you divide it into 4 quarter equally. It gives you 13 weeks in a quarter. Now spread these 13 weeks into 3 months, that leads you to 4-4-5.
If there are 100 company codes, should I create one single posting period variant or separate posting period variant for each company code? Recommendation is to use separate posting period variant for each company code. So that month end closing of one company code does not get affected due to another company code. Each company code can have better control of their month end closing.
After completing month end activity and closing posting period of previous month, can we reopen previous period to post corrections? This is very tricky question commonly asked in SAP FICO interviews. Technically yes previous month period can be opened but in real business it's never done unless and unstill absolutely necessary. Moreover if you are just a day or two after closing period period then getting approval to open prior period is easy but if you are trying to open previous period after many days of closing then getting approval to open previous period is not possible. Approval is granted only on extreme circumstances. Moreover, company auditor will not allow opening prior period after month end closing. If a company is opening previous periods many times, auditor will definitely put a remark in his/her observation. These remarks hold significant value in statutory and regulatory perspective. Matured companies don't allow opening of previous period.
Why having clear understanding of fiscal year and posting period variant is important for a sap fico consultant?
Imagine you are a consultant who is working on a custom report development. Company is following 4-4-5 fiscal year but business wants month wise trial balance. Now if you fetch financial data by period then it's not giving you for the month. Some period has 4 weeks which is less than number of days in a month. Some period has 5 weeks which is more than number of days in a month. Hence to meet business requirement, consultant must have good understanding of fiscal year and posting period. In this example, consultant needs to provide logic to ABAP developer to add financial data for missing days in the period or remove data for excess days in the period. Let me summarize some important points:
Different posting period variant for each company code is recommended.
Posting period opening and closing is done using background batch jobs.
During the month only one posting period is open but at month end two posting periods can be open (current month for transactions and previous month for posting month end corrections)
Non leading ledger can have different fiscal year and posting period variant than leading ledger.
